When a calling campaign underperforms, the instinct is usually to change the script or add more callers. Sometimes the real problem is quieter: the data behind the campaign is outdated, and no script fixes a wrong phone number. Here are five signs worth checking before you touch anything else.

Your connect rate has dropped without an obvious cause

If callers are dialing at the same volume but reaching far fewer live prospects, the list is a likely culprit. Disconnected numbers, changed extensions, and contacts who have moved on all show up first as a falling connect rate, before anyone notices the data itself is the issue.

"This person doesn't work here anymore" is a common response

B2B contact turnover is constant. People change roles, get promoted, or leave companies entirely. A list that hasn't been refreshed in six months or more will accumulate stale contacts quietly, and every one of those calls is a wasted dial that could have reached someone else.

A full data cleanup takes time, but you can get a rough read on list health in an afternoon. Pull a random sample of a few hundred records and check them against a few simple questions before committing to a bigger campaign.

  • When was this record last updated, and does the date line up with a recent verification or just the day the record was first entered?
  • Does the contact's title still match what a quick search shows for that person today?
  • Are there duplicate entries for the same company with different phone numbers or contacts listed?
  • Is there a note on the record, or is it a bare name and number with no campaign history at all?

If more than a small fraction of the sample fails one of these checks, treat that as a signal, not a coincidence. The same pattern is almost certainly repeated across the rest of the list.

Start with the list, not the script
